Privacy Policy.

How NJS ROYALE EVENTS AND CONFERENCE CENTER LTD collects and uses personal data submitted through this website.

Who we are

This website is operated by NJS ROYALE EVENTS AND CONFERENCE CENTER LTD (“we”, “us”, “our”), trading as NJS Royale Event and Conference Center (RC RC 8712806). We are the controller responsible for the personal data described in this notice. Our address and contact details are set out in the Contact section and below. Privacy queries are handled by our team using those contact details.

What personal data we collect

We only collect what you choose to send us through this website. Depending on the form you use, this may include:

  • Event enquiries: organiser name, company name (optional), email, phone, preferred hall, event type, event date, estimated guests, preferred times, whether accommodation is needed, and any additional requirements you type.
  • Accommodation requests: guest/organiser name, company name (optional), email, phone, an event code (optional), number of guests, arrival and departure dates, requested units, and any special requirements you type.
  • Booking-status checks: the booking reference and the private tracking code you enter to view your own request. The tracking code is never stored by us in plain text.

Free-text fields (“additional requirements”, “special requirements”) are optional. Please avoid including sensitive personal information (such as health, dietary or religious details) unless it is genuinely necessary for your event or stay.

Why we collect it, and our lawful basis

We use your information only to respond to and manage the request you make. Our lawful bases under the Nigeria Data Protection Act 2023 are:

  • Taking steps at your request before entering into a contract: to review your enquiry, check availability, prepare a quotation or proposal, and respond to you about a possible booking or service.
  • Our legitimate interests: in operating the venue, responding to enquiries, preventing misuse of our forms and systems, and maintaining business records — balanced against your rights.
  • Legal obligation: where we are required to keep certain records (for example, financial and accounting records).
  • Consent: only for genuinely optional processing, such as marketing communications. We would ask for that separately, and you could withdraw it at any time. We do not rely on consent to respond to your enquiry, and the acknowledgement box on our forms simply confirms you have read this policy — it is not a consent to processing.

We do not use your information for automated decision-making or profiling, and we do not sell your data.

How enquiries, event details and accommodation requests are used

Enquiry, event and accommodation details are used by our team to review your request, confirm availability, prepare provisional documents (such as a quotation, proforma or invoice for your own review), and communicate with you about your event or stay. Submitting a request does not create a confirmed booking — every request is reviewed by our team first.

Who may access or process your information

Access is limited to authorised NJS Royale Event and Conference Center staff who need it to handle your request (for example, sales, operations and finance review). We may also share information with:

  • professional advisers (such as accountants or legal advisers) where necessary;
  • service providers who host or support this website (see “Third-party service providers”);
  • public authorities where we are required to by law.

We do not share your information with third parties for their own marketing.

Third-party service providers

This website is hosted on Vercel, our website hosting and deployment provider, which processes requests to the site on our behalf. This website does not use advertising networks, social-media tracking pixels, or third-party analytics, and it does not embed third-party media that tracks you.

If we add further service providers that process personal data, we will update this notice accordingly.

International hosting and data transfers

Our hosting provider operates data centres in multiple countries, so information submitted through this website may be processed on servers located outside Nigeria. Where personal data is transferred internationally, we take reasonable steps to ensure it remains protected in line with the Nigeria Data Protection Act 2023.

How we protect your information

We use reasonable technical and organisational measures to protect personal data, including transport encryption (HTTPS) for this website, access limited to authorised staff, and not displaying other customers’ information on the booking-status page. Your booking-status tracking code is stored only as a one-way hash, never in plain text. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

How long we keep it (retention and deletion)

  • Unsuccessful enquiries may be retained for up to 12 months after our last communication with you.
  • Confirmed bookings, payments, invoices, receipts and related records may be retained for as long as necessary to meet applicable legal, accounting, audit and dispute-resolution obligations.
  • Information may be deleted or anonymised earlier when it is no longer reasonably required.

You can ask us to delete your information at any time (see “Your rights”), subject to records we are required to keep by law.

Your rights

Under the Nigeria Data Protection Act 2023, you have the right to:

  • access the personal data we hold about you;
  • ask us to correct inaccurate or incomplete data;
  • ask us to delete your data;
  • ask us to restrict or object to how we use it;
  • request a copy of the data you gave us in a portable format;
  • where we rely on your consent (for example, for marketing), withdraw that consent at any time without affecting processing already carried out.

How to request access, correction, restriction or deletion

To exercise any of these rights, contact us and tell us what you would like us to do. We may need to verify your identity before acting. We aim to respond within a reasonable time and in line with the timeframes set by the Nigeria Data Protection Act 2023.

Complaining to the Nigeria Data Protection Commission

You have the right to complain directly to the Nigeria Data Protection Commission (NDPC), the regulator responsible for data protection in Nigeria, whose contact details are published on the NDPC’s official website. You are welcome to contact us first so we can try to resolve your concern, but you are not required to.
